Inspect and document the vehicle before driving away and again when you return it. If you believe the vehicle is unsafe, do not drive it; ask the rental company to inspect or replace it.
Each rental company sets its own condition-report and return process and may be called the supplier on Airport Van Rental screens. Use the latest voucher before pickup and the signed agreement after pickup.
Pickup priority checklist
Before leaving:
Photograph or record the full exterior from several angles.
Capture close-ups of existing dents, scratches, chips, stains, or other concerns.
Record the dashboard, mileage, and fuel or battery level.
Check tires, wheels, glass, mirrors, lights, and visible roof areas from a safe standing position.
Check the seats, cargo area, controls, keys, charging cable, and other listed equipment.
Ask the rental company to add every concern to the condition report.
Keep the report and original photo or video files.
Do not crawl under the vehicle. Ask the rental company to inspect and record any concern involving the underbody or another area you cannot view safely.
Check for a safety problem
Before moving the vehicle, look for warning lights, obvious tire or glass damage, unusual sounds, or a control you need that does not work.
Tell the rental company immediately. Do not test-drive or continue operating a vehicle you believe is unsafe.
Condition photos help document what was visible. They do not replace the rental company’s mechanical or safety assessment.
If you notice something after leaving
Stop in a safe place when necessary and contact the rental company promptly using the number in the signed agreement or voucher.
Describe the issue, send evidence through the approved channel, and ask for instructions. Do not authorize a repair, tow, or replacement without rental-company approval unless immediate safety or law requires action.
Keep the time, contact method, messages, and reference number.
At return
Follow the return instructions in the signed agreement.
Photograph the vehicle, mileage, fuel or charge level, and return location.
Record keys and equipment returned.
Ask for a return inspection or receipt when available.
Keep the final invoice and every condition record.
For an after-hours return, document where and when you left the vehicle and keys. Follow the agreement rather than a general instruction.
