Why was I charged a cleaning fee?

Understand a rental-company cleaning charge and what evidence to review.

A rental company may charge for cleaning when the returned vehicle’s condition falls outside the standard in the signed agreement. Ask the rental company for the rule, an itemized invoice, and evidence supporting the charge.

The rental company is called the supplier on some Airport Van Rental screens. It creates and reviews charges under the signed rental agreement.

Check the rule that applied to your rental

  • Before booking: Read the selected offer's Rental Policies for cleaning and return-condition terms.

  • After booking and before pickup: Check the latest confirmed voucher and its offer-specific rules.

  • After pickup: Use the signed rental agreement, condition reports, and final invoice.

Those documents govern the rental-company charge. This article does not replace the terms you selected or signed.

When a cleaning charge may apply

Examples can include:

  • Smoke, vaping residue, or strong odors

  • Pet hair or animal-related cleaning

  • Spills, stains, or excessive rubbish

  • Heavy sand, mud, or other material

  • Cleaning linked to prohibited use

These are examples, not universal rules. The signed agreement and the rental company’s evidence control the charge.

Normal use, the expected return condition, and any fixed fee can vary by rental company and location.

How to reduce the risk of a dispute

At pickup:

  1. Check the interior and exterior before leaving.

  2. Photograph or record any existing dirt, stains, odors, or damage.

  3. Ask the rental company to add each concern to the condition report.

  4. Review the smoking, pet, and cleaning rules in the agreement.

At return:

  1. Remove personal items and rubbish.

  2. Follow the return condition in the signed agreement.

  3. Take clear photos or video before handing over the vehicle.

  4. Keep the return inspection, receipt, and final invoice.

Do not arrange professional cleaning or detailing unless the rental company confirms that it is allowed and useful.

If you received a cleaning charge

  1. Identify the merchant shown on the invoice and card statement.

  2. Ask the rental company for an itemized invoice and the evidence supporting the charge.

  3. Compare the charge with the signed agreement, pickup report, and your photos.

  4. Send a concise written dispute to the rental company if the evidence does not match.

  5. Keep every reply and reference number.

Airport Van Rental can review a booking record or a mismatch with the confirmed offer. It cannot remove a rental-company charge from a signed agreement.

Your bank can explain whether an amount is pending or completed. It cannot decide whether the rental company’s cleaning rule was applied correctly.

RentalCover can answer only whether its policy may respond to an eligible claim. It does not decide whether the rental company’s charge is valid.

Protect your information

When sharing a bank statement, hide unrelated transactions and card digits that are not needed. Never send a full card number, security code, password, or unnecessary unmasked identity document through ordinary chat or email.

Keep the signed agreement, condition reports, photos, final invoice, card record, and dispute messages.

Still need help?

Contact the rental company first using the details on your agreement or final invoice. Have the agreement number, invoice, charge date, amount, and photos ready.

If the charge conflicts with the Airport Van Rental voucher or the rental company remains unresponsive, contact Airport Van Rental. Open the Airport Van Rental Help Center and use the chat button.
